How TentPole uses AI, what to know, and your rights.

1. What AI Features TentPole Offers
TentPole uses artificial intelligence to assist with:
- Application screening — scoring vendor applications based on fit
- Message drafting — generating reply drafts for organizers to review
- Booth layout suggestions — optimizing booth placement for traffic flow
- Day-of summarization — surfacing priority items from inbound activity
- Search and discovery — improving event and vendor matching
2. Who Provides the AI
AI capabilities are powered by third-party providers, currently Anthropic, PBC (Claude models). Your data submitted to AI features is transmitted to the provider for processing per their terms.

3. What Data Is Sent to AI
Only the data needed to fulfill the specific AI task is sent:
- For application scoring: the application content + the event's terms and requirements
- For message drafting: relevant message history and context
- For booth layouts: the event's booth list and venue dimensions
- For summarization: recent messages and notifications
We do NOT send: payment details, passwords, account credentials, or unrelated personal data.
4. AI Output Is Suggestion, Not Final Word
AI-generated content is:
- A suggestion, not a decision. A human must review and approve before any action takes effect (e.g., before sending a message, approving an application, charging a card).
- Potentially inaccurate. AI can hallucinate, make biased judgments, or miss context.
- Not professional advice. AI output is not legal, medical, financial, or accounting advice.
By using AI features, you accept responsibility for reviewing output before relying on it.
5. Bias and Fairness
AI may reflect biases present in training data. Organizers reviewing AI-screened applications must:
- Make their own final decision
- Apply non-discriminatory criteria consistent with applicable law
- Not use AI scores as the sole basis for declining an applicant
TentPole does not guarantee AI outputs are free of bias. If you experience or observe biased output, report it to ai-feedback@thetentpole.com.
6. Opt-Out
You can opt out of AI features in Settings → AI Preferences. Some AI features are core to the Pro tier; opting out may reduce functionality.
7. Rate Limits and Quotas
AI usage is subject to fair-use limits to manage cost:
- Core tier: 50 AI drafts/month
- Pro tier: Unlimited (subject to anti-abuse limits)
- Free trial: Up to 10 AI drafts during trial
8. AI Activity Log
For transparency, TentPole logs AI actions taken in your account (action type, timestamp, summary input). You can view this log in Settings → AI Activity.
9. Prohibited AI Uses
You may not use TentPole's AI features to:
- Generate content prohibited by our Acceptable Use Policy
- Discriminate against protected classes
- Impersonate other users
- Generate deceptive marketing or fake reviews
- Train competing AI systems on TentPole output
10. Changes
AI features and providers may change over time. Material changes will be communicated via in-app notice or email.
